Who we are
BotLab Academy is a robotics education company based in London. We operate after-school clubs, weekend workshops, holiday camps and school enrichment days for young people aged 11-18. When we refer to "we", "us" or "our" in this policy, we mean BotLab Academy. For data protection purposes, we are the data controller for the personal information we hold.
What data we collect
When you contact us or book a place on one of our programmes, we collect: your name and email address; the name and age of the student; your enquiry or booking details.
If you are a school, we may also collect the name of your institution and the name of the staff member making the booking.
We do not collect payment information directly - all payments are handled by a third-party payment processor and we do not store card or bank details.
How we use your data
We use the information you provide to respond to your enquiry, confirm your booking, and communicate session details.
We do not use your data for marketing without your explicit consent. We will not add you to a mailing list unless you actively opt in.
We do not sell, rent or share your personal data with third parties except as described in this policy.
Legal basis for processing
We process your personal data on the basis of contract (to fulfil a booking you have made), legitimate interest (to respond to an enquiry you have sent us), and consent where applicable (for example, if you ask to be notified of upcoming dates).
Data about children
We collect the name and age of the young person attending our sessions. This data is held securely, used only to manage the booking and session, and is not shared with third parties. We do not ask children to submit personal data to us directly - all contact is with parents, guardians or school staff.
Photography and media
We only photograph or film students with written parental or guardian consent. Where consent has been given, images may be used on our website and social media for promotional purposes. Consent can be withdrawn at any time by contacting us in writing.
How long we keep your data
Enquiry and booking records are retained for three years. Safeguarding records are retained in line with statutory requirements. You can request deletion of your data at any time, subject to any legal obligations we may have to retain it.
Third-party services
Our contact form uses Resend to deliver email. We may also use third-party tools for scheduling and booking. These providers are GDPR-compliant and process data only on our behalf. We do not permit third parties to use your data for their own purposes.
Your rights
Under UK GDPR, you have the right to: access the personal data we hold about you; request correction of inaccurate data; request deletion of your data; object to or restrict how we process your data; request a copy of your data in a portable format.
